Shift Expert is an extremely useful set of tools that allows you to manage employees’ work hours in the workplace. It builds on core Field Service objects and capabilities such as serviced appointments and schedule optimization. It is available in Lightning Experience and Enterprise and Unlimited Editions and is available as an add-on-licence with Work.com and Workplace Command Centre.

Salesforce Shift Expert offers two types of scheduling which you choose when creating a facility plan.

  1. Self-service scheduling – Your shift planner creates shifts and advertises that booking is open.  Employees find and book their preferred shifts in the mobile app.
  2. Managed scheduling – Your shift planner assigns and sends out shifts to employees. Employees confirm their availability and accept shifts in the mobile app.

When the shifts are created in the mobile app in self service scheduling you can choose between the Shift Booking tab (letting employees reserve shifts at any location) and the Back to Work tab (showing available shifts at the employees assigned workplace only).

Your employees can book shifts using the mobile app when they meet the following criteria –

  • The employee is active
  • The worker type is “employee”
  • The wellness status is “available to work” – meaning they can use the shift management app and accept shifts. If this isn’t the case the employee will see an error message

If the employee’s status changes to unavailable, previously accepted shifts are cancelled. 

By using the Shift Expert cloud contractors can have complete control of their own working hours as they can choose to create shifts for different service territories on different days.  For a contractor to manage shifts independently a service territory member record must be available along with a service territory.

Create shifts that vary daily or weekly. Shift planners work with their service resources to plan shifts in advance. By streamlining and updating shift statuses and enabling shift related rules in the scheduling policy you systemize the approval process. To this you will need to determine time slots with shifts and enable shift-related rules in the scheduling policy. You can use shifts to assign serviced resources to follow a flexible pattern i.e. different working hours at the same territory or the same service resource at different territories.
